Privacy Policy

This policy describes the Apex website, secure client portal, and related parcel-audit workflows. It is an operational disclosure and should be reviewed periodically with qualified privacy counsel as the service, integrations, and legal requirements evolve.

Information you provide

You may provide your name, business email, company information, contact details, shipping profile, audit inquiry, and other information you choose to share. Authorized portal users may also provide carrier-account reference information, invoice metadata, invoice files, audit records, claim information, recovery information, reports, and support communications.

Account and authentication information

The client portal uses Supabase for authentication and data services. Authentication information may include your email address, account identifiers, session information, login timestamps, and security events. Passwords are handled by the authentication provider and are not displayed to Apex personnel through the portal.

Shipping and billing information

To provide parcel-audit services, Apex may process UPS or FedEx invoice files, shipment and charge details, masked carrier-account references, claim records, carrier credits, recovery results, and related business documentation. The portal is designed to request read-only or narrowly scoped access and does not ask customers to submit carrier passwords through website forms.

Information processed automatically

Our hosting and infrastructure providers may process standard technical information needed to deliver and secure the website, such as IP address, browser and device information, requested pages, timestamps, and diagnostic logs. The site also loads fonts from Google, which may cause your browser to connect to Google services.

How information is used

  • Respond to inquiries, establish portal access, and evaluate requested audit services.
  • Review invoices, identify potential billing errors, manage audit and claim workflows, track recoveries, and publish reports.
  • Authenticate users, enforce company-level permissions, secure customer files, troubleshoot issues, and improve the service.
  • Comply with legal obligations and protect legitimate business interests.

Sharing

Information may be shared with service providers that support hosting, authentication, storage, communications, customer-relationship management, security, parcel auditing, and business operations; with carriers or authorized audit providers when needed to perform an approved recovery workflow; when required by law; or in connection with a business transaction. Website audit inquiries may be submitted to HubSpot when that integration is enabled. Apex Parcel Audit does not sell personal information.

Retention and security

Information is retained only as reasonably needed for the purposes described above, the applicable services agreement, legal obligations, dispute resolution, and enforcement of agreements. Safeguards include authenticated access, company-level authorization rules, private file storage, and limited-duration file links where supported. No transmission or storage method can be guaranteed completely secure.

Your choices

You may request access, correction, or deletion of information you submitted, subject to applicable law, contractual requirements, and legitimate retention needs. You may also request help with portal access or ask questions about carrier-connection information.

Children

The website and services are intended for businesses and are not directed to children under 13. Apex Parcel Audit does not knowingly collect personal information from children through this website.

Changes

This policy may be updated as the website or business practices change. The effective date above will be revised when material updates are published.
